THE ROLE

Job Title: Holiday Home Manager

Position: Part-time | 30 hours per week

Salary: £21,840 per annum (£27,300 FTE), based on 30 hours per week. Overtime paid at an agreed hourly rate.

Location: Studio 1, Lake District Workspace, Oldfield Road, Windermere, LA23 2HJ

Reports to: Ross Hayton, Managing Director

 

Days/hours required:

  • 30 hours per week, with the working pattern to be agreed with the successful candidate. Core working days will include Monday and Friday.
  • Alternate Saturdays will be required, shared with a colleague in the same role. Occasional Sunday availability would be desirable.
  • Some flexibility in working hours may be agreed in advance, subject to the needs of the business.
  • The role will generally be based at our Windermere office or out and about across our holiday home portfolio. Occasional opportunities to work from home may arise, although home working is not a guaranteed part of the role.
  • You may be required to participate in the Company’s out-of-hours on-call rota. On-call cover operates between 5:00 pm and 9:00 am, during which you will be required to remain contactable and able to respond within a reasonable period. An on-call allowance of £30 per night will be paid for each night you are scheduled on the rota. Any time spent actively working in response to an out-of-hours call will be treated as working time and paid at your normal hourly rate or taken as time off in lieu.

THE COMPANY

Tarn & Fell Escapes is an independent holiday letting agency, established in 2023 after years of living and working in the Lake District. We provide a full management service for self-catering properties across Cumbria, including bookings and administration, housekeeping, maintenance, compliance support, and general property management.

KEY RESPONSIBILITIES

You’ll oversee the day-to-day operation of your allocated holiday homes from end to end, including:

  • Coordinating housekeeping and changeover schedules and ensuring each holiday home is prepared to a consistently high standard.
  • Building strong working relationships with housekeepers and addressing any housekeeping or presentation issues that arise.
  • Regularly visiting your allocated holiday homes and monitoring standards; producing reports and inventories for review and discussion.
  • Identifying maintenance issues and ensuring they are dealt with appropriately and promptly.
  • Arranging tradespeople and contractors for necessary repairs and works, coordinating access and timescales around guest bookings and following works through to completion.
  • Monitoring stock levels of welcome gifts, guest consumables and other supplies and arranging replenishment as required.
  • Liaising with holiday home owners regarding day-to-day operational matters, maintenance, works and other matters relating to their home.
  • Maintain compliance records and organise necessary contractor visits to ensure holiday homes are compliant with legislation.
  • Keeping accurate records of invoices and expenses associated with your allocated holiday homes.
  • Collating the information required for monthly owner statements and ensuring property expenditure is correctly recorded.
  • Reviewing guest feedback and property standards, identifying recurring issues and recommending practical improvements to owners where appropriate.
  • Maintaining accurate and up-to-date information and operational records for your holiday homes.
  • Working collaboratively with other Holiday Home Managers and the wider team, providing cover across the portfolio when required.
  • Supporting general business administration, guest communication and wider tasks as part of a small and growing team.

Although you’ll have individual responsibility for your allocated holiday homes, you’ll be part of a small team. There will naturally be times when everyone gets involved and supports one another across the wider portfolio.

 

ABOUT YOU

  • A reliable, proactive, and highly organised individual, comfortable managing a varied workload.
  • Strong problem-solving skills, with the ability to remain calm and practical when issues arise
  • The initiative to manage tasks independently and take ownership of responsibilities
  • Confidence in lone working, as well as working collaboratively within a small team and alongside property owners, guests, housekeepers and contractors
  • Excellent attention to detail and pride in maintaining high standards
  • Confident communication skills with a friendly, professional approach
  • Willingness to carry out practical, hands-on work
  • Confident using computers and online systems, with training provided on our specific systems
  • A full UK driving licence is essential

 

ADDITIONAL INFORMATION

Mileage will be paid at the approved rate of £0.45p per mile and in line with the Company’s Driving for Work Policy, or use of a company vehicle may be available.
